We are seeking a highly organised and proactive Executive Assistant for a tech startup in Richmond. The ideal candidate will have previous experience supporting executive teams for a fast-paced or start-up organisation. You’ll be responsible for calendar management, meeting booking and other administrative tasks to support the MD and leadership team.

What you’ll be doing

  • Managing executive calendars, scheduling meetings, coordinating travel arrangements and booking accommodation
  • Managing the executive’s inbox, filtering emails, drafting responses, and ensuring important communications receive attention
  • Booking travel arrangements, creating detailed itineraries, and handling adjustments when necessary
  • Preparing and editing correspondence, reports, and presentations
  • Preparing agendas, organising materials, and taking meeting minutes
  • Organising and coordinating internal and external meetings, including logistics and materials
  • Handling confidential information with discretion and professionalism
  • Acting as a liaison between executives, clients, and external partners
  • Assisting with special projects and initiatives as needed
  • Ensuring executives are well-prepared for meetings and events, showing seamless preparation and communication
  • Organising and maintaining files, records, and documents, both digital and physical, to ensure information is easily accessible
  • Assisting in planning and coordinating executive-level events, including client meetings, board meetings, or team gatherings

What we are looking for

  • Proven experience as an Executive Assistant or in a similar role (ideally within a startup)
  • Exceptional skills in calendar management and event coordination
  • Strong organisational and multitasking skills with an eye for detail
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to work in a rapidly growing organisation and manage multiple priorities
  • Experience coordinating both virtual and in-person events
  • Familiarity with CRM or scheduling software
