The main role of the Dispatch Team is ensuring customer orders are prepared, tested, and sent out on time, guaranteeing next-day delivery and a perfect start to our customer’s journey with us. Within the team, there are a number of key responsibilities that a successful Dispatch Executive will undertake on a daily basis.

  1. Processing Customer Orders and Sending Postal Items
    • Ensure all alarm orders received each day are dispatched in a timely, presentable manner, including all relevant equipment, information guides, and assistance that the customer needs to get started with their equipment as soon as it arrives.
    • Prepare and pack alarm orders ensuring they are sent out in perfect working condition.
    • Prepare individual equipment requests as well as invoicing, equipment instructions, and smaller postal items to be sent each day such as additional cables or replacement equipment.
    • Identify the various types of orders each day and communicate with colleagues to ensure everything is completed to a high standard.
    • Communicate effectively with the Customer Service and Sales teams to ensure any updates and changes to orders are communicated and acted on.
    • Communicate with other areas of the Dispatch Team to ensure there is enough equipment prepared to complete orders each day.
    • Manage time effectively to ensure all orders are dispatched on time.
  2. Processing Returned Goods
    • Ensure returned goods are processed promptly through our CRM system and placed back into stock rotation once tested and reconditioned.
    • Communicate effectively with the Customer Service teams (particularly Credit Control) regarding any missing or damaged equipment, as well as miscellaneous equipment and any additional information received from the customer.
    • Receive returned goods from various couriers and ensure they are organized and labeled.
  3. Reconditioning Returned Equipment
    • Ensure all returned equipment is reconditioned, fully tested, and recorded before being sent out to a customer.
    • Communicate effectively with other areas of the Dispatch Team to ensure the necessary equipment is prepared each day to complete customer orders.
    • Maintain a good eye for stock management and communicate effectively with the management team when stock levels are getting low.
    • Constantly think of new ideas to increase efficiency when reconditioning equipment, for example, thinking of new materials to use to aid the process.
  4. Programming of Alarm Equipment
    • Ensure all alarm equipment is correctly programmed and fit for each customer’s purpose.
    • Ensure the correct telephone line and alarm ID are assigned to each unit so it links to the customer’s account and reduces mismatches between the Dispatch team and Alarm Response Centre.
    • Communicate effectively with the Alarm Response Centre when programming and calling through on alarm units to ensure adequate cover is available on the phones to answer the test calls.
