Senior Property Manager - Client Side Opportunity!

**Experience in lettings and block property management is required**

Monday - Friday, 09:30 to 17:30

Main duties of the Senior Property Manager include:

Development of Property Management Department:

  • Build and expand the property management department to efficiently manage a growing property portfolio.
  • Introduce and implement appropriate management systems and procedures, continually reviewing and improving these systems to enhance operational efficiency and service delivery.
  • Implement and maintain a comprehensive system for keeping records of all files and relevant information, ensuring that documentation is organised, up-to-date, and easily accessible for reference and compliance purposes.

Property Compliance and Management:

  • Ensure all properties in the portfolio are compliant with current health, safety, and legal regulations.
  • Oversee or personally conduct regular property inspections, including fire safety checks, ensuring that all safety measures are in place and adhered to.
  • Manage all compliance-related tasks effectively, ensuring all requirements are documented and completed in a timely manner.

Property Maintenance and Expenditure Control:

  • Manage maintenance issues efficiently, ensuring that repairs and general upkeep are carried out promptly.
  • Oversee all property-related expenditure, ensuring that it is cost-effective, competitive, and delivers value for money.
  • Manage relationships with contractors and service providers, ensuring quality and efficiency in all services rendered.
  • Proactively keep relevant parties, such as tenants or occupants, informed about maintenance schedules and progress to maintain satisfaction and provide reassurance.
  • Ensure efficient scheduling of maintenance and repair work to minimise disruption and optimise resource use.
  • Organise and coordinate call-outs and repairs effectively, working closely with contractors to ensure smooth execution.
  • Properly assess all maintenance and repair requests from tenants or contractors to determine their necessity before proceeding.
  • Conduct scheduled or spot checks on works being carried out to ensure they are performed to a high standard and meet quality expectations.

Tenancy Management and Rental Negotiations:

  • Handle all aspects of tenancy management, including negotiating rental renewals and implementing rental increases as appropriate.
  • Maintain positive relationships with tenants, addressing concerns and queries professionally and effectively.
  • Prepare and oversee tenancy agreements, ensuring accuracy and adherence to timelines.

Marketing and Letting of Vacant Units:

  • Arrange the marketing of vacant units, including advertising on various platforms to attract potential tenants.
  • Conduct viewings, assess tenant suitability, and negotiate rental agreements to ensure units are let efficiently and at competitive market rates.
  • Effectively manage external lettings agents where required, ensuring that vacant units are let out efficiently and in line with the Company standards and expectations

Insurance and Risk Management:

  • Ensure that all properties have adequate insurance coverage in place and manage insurance claims as needed.
  • Regularly review insurance policies to ensure compliance, adequacy, and cost-effectiveness.

Budget Management and Financial Reporting:

  • Coordinate with the accounting team to establish budgets for the property portfolio, ensuring financial targets are met or exceeded where possible.
  • Provide regular financial and operational information to the accounting team within a timely manner.

Stakeholder and Relationship Management:

  • Develop and maintain strong relationships with landlords, tenants, contractors, and service providers.
  • The Employee shall act as a primary point of contact for tenants addressing and resolving issues in a professional and timely manner.

General Duties:

  • Remain informed about market trends and regulatory changes to ensure the property portfolio is compliant and competitive.
  • Handle emergencies and unexpected property issues promptly and effectively, taking all necessary measures to safeguard the interests of the Company and its clients.
