The Administrator/Scheduler will play a key role in supporting the Damp and Mould team by providing comprehensive administrative support and scheduling services. You will be responsible for efficiently managing administrative tasks, coordinating schedules and ensuring the smooth flow of information between the team, tenants, contractors and other stakeholders. The role is integral to ensuring that all damp and mould issues are addressed in a timely and organised manner.
About you
We are looking for someone with:
- Proven experience in an administrative or scheduling role, ideally within property services, housing or a related field.
- Strong organisational and time-management skills with the ability to prioritise and manage multiple tasks simultaneously.

The Administrator/Scheduler will play a key role in supporting the Damp and Mould team by providing comprehensive administrative support and scheduling services. You will be responsible for efficiently managing administrative tasks, coordinating schedules, and ensuring the smooth flow of information between the team, tenants, contractors, and other stakeholders. The role is integral to ensuring that all damp and mould issues are addressed in a timely and organised manner.
Key Responsibilities:
- Scheduling and Coordination:
- Coordinate and schedule damp and mould inspections, follow-up visits, and repairs.
- Ensure timely allocation of tasks to contractors, surveyors, and internal teams.
- Maintain and update the team’s scheduling systems and tools, ensuring accurate records of all appointments, visits, and completed tasks.
- Liaise with tenants and contractors to confirm appointments and follow up on outstanding actions.
Administrative Support:
- Assist the Damp and Mould team with day-to-day administrative tasks including filing, data entry, and correspondence.
- Prepare, update, and maintain databases, spreadsheets, and tracking documents related to damp and mould cases.
- Monitor and manage incoming emails, calls, and requests, ensuring that they are directed to the appropriate team member or dealt with promptly.
- Process purchase orders, invoices, and other related financial documentation in line with company procedures.
Communication and Stakeholder Management:
- Serve as a point of contact for tenants, ensuring their queries and concerns regarding damp and mould issues are addressed professionally and efficiently.
- Work closely with contractors and other departments to ensure smooth communication and coordination of work.
- Provide regular updates to the Damp and Mould team on scheduling progress, outstanding tasks, and any issues that may arise.
Data Management and Reporting:
- Maintain accurate records of all damp and mould cases, from initial reports to resolution, using internal systems.
- Assist in compiling reports and statistics related to the team's performance, workload, and case outcomes.
- Ensure all data is compliant with data protection regulations and company policies.
- Proven experience in an administrative or scheduling role, ideally within property services, housing, or a related field.
